Booking & terms
How booking works.
From your first message to the flight home, and the terms behind it — in plain words. Your written quote confirms the terms for your trip.
Step by step
Seven steps, no surprises.
- 01
Tell us
Where, when, how many and why — by the form, WhatsApp or WeChat.
- 02
A plan and a price
Within two working days: the itinerary, hotels, meetings or tours, and what is included.
- 03
Confirm with a deposit
The deposit secures flights and hotels; we send a written confirmation.
- 04
Visas and documents
Invitation letters, applications and appointments, handled by us.
- 05
Balance and trip file
The balance is paid before departure; tickets, vouchers and contacts arrive in one file.
- 06
Travel with a host
Met at the airport, with a host on call for the whole trip.
- 07
Home, and a follow-up
A debrief after business trips, and help with anything left to settle.
The terms
Payments, changes and cancellations.
Prices and what they include
Prices are per person, sharing a twin room, in the currency shown. Single rooms cost extra.
Each package lists what it includes; anything not listed is not included. Your quote lists both, and its price is fixed once you pay the deposit — unless a government tax or fee changes before you travel.
Deposit and balance
A deposit of 30% of the trip price confirms your booking.
The balance is due 30 days before departure. If you book within 30 days of departure, the full price is due when you book.
In trade-fair season hotels must be paid in full in advance; when that applies, your quote says so.
Changes
Tell us as soon as your plans change. Name changes are free until tickets are issued. Other changes cost what the airline or hotel charges, plus any difference in price.
If you cancel
- 60 days or more before departure: everything you paid is refunded, less costs already committed to airlines and hotels.
- 30 to 59 days before departure: we keep 50% of the trip price.
- Fewer than 30 days before departure: no refund.
Cancellations must be in writing. Travel insurance usually covers the reasons people cancel, which is why we require it.
If we cancel
If we have to cancel a dated group trip — for example because too few people book — you choose a full refund or another date.
If a visa is refused
We refund the trip price, less visa fees and costs already committed to airlines and hotels.
Travel insurance
Insurance covering medical care, emergency evacuation and cancellation is required for every trip. Add a policy to your quote, or send us the details of your own.
Passports and entry
You need a passport valid for your destination and must meet its entry rules. We check them with you, but entry is decided at the border.
If something goes wrong
Tell your host straight away so it can be put right on the spot. For anything else, write to hello@tgobrands.com within 14 days of your return.
These booking terms apply alongside our website terms of use.
